Position Summary

As Administrative Assistant / Administrative Site Coordinator, duties and responsibilities include greeting visitors, administrative support to ensure efficient operation of the office.  Supports managers and employees through a variety of tasks related to organization and communication.  Responsible for time sensitive material.  Ultimately, Administrative Assistant / Site Coordinator ensures the efficient and smooth day-to-day office of operations.  


Regularly assists in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc.  May assist in budget preparation and control activities.  May orient new employees.  May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations.   Duties may be complex in nature and may involve access to confidential information; duties may also include normal secretarial activities such as typing, scheduling appointments, maintaining supervisor’s calendar, screening calls, etc.  

Education Degree

High School Diploma or GED


  1. Serves as first point of contact for site and greets visitors.  Provides administrative support for management staff groups such as, Operations, Engineering, Supply Chain, etc.  
  2. Handles multiple projects/assignments and delivers results that are timely and accurate.  
  3. Organizes work using tools such as MS Excel, Word or PowerPoint.  
  4. Prepares reports for management staff.  May analyze data and highlight anomalies and discrepancies.  
  5. Ensures company communication is posted on bulletin boards or employee monitors.  
  6. Makes travel arrangements for managers and traveling employees.  
  7. Makes meeting arrangements including setting up rooms/venues, orders supplies, and meals/food for breakfast, breaks, and lunches.  
  8. Prepares meeting material for conferences and groups.  
  9. Coordinates employee engagement activities such as picnics, BBQ’s, lunches, Ice-Cream socials, Thanksgiving or/and Christmas events.  
  10. Keeps organization of office, orders and maintains office and other supplies.  
  11. Develops and maintains filing system. 
  12. Provides general support to visitors.  
  13. May be assigned to ensure building contracts and service agreements are up to date and working effectively.  
  14. May be assigned to ensure office and building services are in place such as cleaning, landscaping, machine and equipment calibration.  
  15. May help departments listed above in providing administrative or clerical support such as helping Supply Chain count parts, separate and bag sets of parts, enter data, and keyboard documents for forms.

Required Experience

  • 3 years of work experience working as an Administrative Assistant.  
  • Associates Degree Preferred.
