Senior Projects Manager

Position Summary

The Senior Project manager has delegated responsibility from the Project board to manage the allocated projects on a day to day basis within the scope and powers agreed by the board.

 

The key responsibility of the Senior Project Manager is delivery of the required project deliverables, within the specified time frame, within the specified cost and to the required quality level.  Ensuring that the project delivers the benefits presented in the Business case is also the responsibility of the Senior Project Manager. 

The Senior Project Manager will achieve the project objectives by careful capex budget control; applying suitable and timely coordination, alignment, priority and focus to the wider STERIS project team and external partner suppliers, contractors and organisations; and disciplined, diligent project scope definition, execution and control.

Duties

Initial planning phases:

Production of a Project Definition Document to define the outline project scope. 

Creates the schedule of all required surveys, permits, licences, utilities; coordinates applications submissions with respective partners/authorities and maintains a program for tracking progress. 

Construction/M&E contract management:

Coordinates and contributes to the selection of the external professional partners ‘design team’, such as architects, M&E consultants, structural engineers, HSE, etc.  

Manages external ‘design team’ contracts to develop plans, establish timelines and create build specifications for construction and M&E contractor tendering. 

Plans and coordinates, with the Project Director and ‘design team’, the construction contractor tendering process from initial proposals, through interview/presentations and negotiations to final appointment. 

Tracks performance of all phases of the construction process – build contractor selection and appointments, planning, implementation and start up, ongoing performance and monitoring reviews through to practical completion and building handover including coordination of all H&S files and build design documentation/as built drawings. 

Maintain close relationships, communications and point of contact status with construction/M&E contractors, external partners and consultants throughout the project, including any management of unplanned events and potential issues/risks, to sustain agreed plans, timelines and cost controls towards project completion on time, to scope and within budget.  

Instruction, assessment and approvals of any scope variations – STERIS or contractor generated - content and cost

 

Duties continued

Project Scope/Technical/Engineering:

Assists development of project scope as required, including building design, M&E installation, IT infrastructure and accommodation requirements including room conditions/data specifications and outdoor services

Creates process design concept drawings and layouts as required

Supports process design engineering activities as required (STERIS project engineering, external M&E design, suppliers; STERIS project technical – SEO)

Supports process commissioning and qualification activities as required

 

Communications & reporting:

Is the main contact point for all project related matters

Uses appropriate communications, with internal and external colleagues, to maintain up to date progress of project related matters

Maintains regular communications with construction contractors and partners to track programme progress and troubleshoot any unplanned scope deviations/scope clarifications 

Organises, chairs and actively contributes to scheduled STERIS internal and construction project review meetings

Provides updates on permits and utilities applications, construction, installations, supplies, etc., on basis as agreed with the supervisor, creates meeting minutes and action logs

Attends local meetings with partners and authorities, utilities, contractors, suppliers as required

Provides a monthly project status report including the schedule, financial spend, project activities and project issues/risks.

 

Insurance certification management:

Coordinates appropriate and timely insurance cover with STERIS internal risk team, as necessary, during the project phases and particularly at construction completion and building handover

Coordinates fire safety and sprinkler system design insurance assessments, with STERIS external insurance brokers (AIG), through to approvals

 

Procurement/suppliers:

Provides initial leadership and further support as required to obtaining competitive quotations/proposals from contractors/suppliers and

Ensures new supplier approvals processes are followed and coordinates with quality and finance

Manages the timely creation and control of all project capex budget PR’s/PO’s and corresponding invoices approval.

Background

Development and coordination of structured schedules, involving multi discipline workstream activities, into an overall project high level project timeline program

Leading and coordinating multi discipline STERIS colleagues and external contractors/partners, possibly multi-national, within a team structure, towards achievement of respective project workstream goals aligned to the overall project deliverables and program

Diligent and timely management and control of project capex spend aligned to a fixed budget including a thorough understanding of and ability to present project spend summaries and reports

Development of full project scope from initial business case materials, through project definition creation and approvals, to final tender specifications for contractor appointment (

Management and leadership of external professional consultancy and construction contracts

Identification and reporting of project issues and risks

Organising, setting agendas and chairing project review meetings – internal and external– through to capturing and circulating meeting minutes and actions

Policing and tracking progress of outstanding actions logs and work schedules

Managing options for unplanned events and deviations that impact project scope, cost and programv
