Position Summary

As an Administrative Assistant, you are responsible for a wide range of administrative support for facility management, including maintaining sales records, files, contracts, special reports and procurement for front office and facility supplies. In this role you will support other office functions (finance, customer service, sample coordinator) by providing back-up services when required. You will also help, welcome, direct and control access of visitors to the facility. As an Administrative Assistant you will maintain confidentiality of information and demonstrate solid judgement and discretion when needed.

 

This role requires onsite work 5 days per week at our Sharon Hill, PA location. Our facility is located just outside of Philadelphia, PA. 

 

What You'll do as an Administrative Assistant:

  • Indirect purchasing; procurement for facility supplies to include front office. Provide various reports to facility management as requested. Create Customer correspondence when needed and refers difficult Customer problems to the appropriate team.
  • Assist in maintaining office support by performing other office functions, as requested by the Director of Operations, including data entry for payroll, issue check requests, forward freight bills and re-routes mail to appropriate department for processing.
  • International collect shipping. Collect pack slip, enter required package data (size, weight, value, etc.), and complete vendor required shipping schedules to get shipping quote. Suppliy quotations to Customer Service for sharing with Customers.
  • Manage new vendor set up process. Assist with new product MISS sheets.
  • Support other office functions (Finance, Customer Service, Samples, Quality, Lean, Sales) by providing back-up or assistance as required and with approval from Director of Operations.
  • Welcome visitors by greeting them in person or on the phone in a friendly and professional manner. Direct visitors by providing instruction, answering questions or referring to appropriate internal staff. Maintain security by monitoring visitor logbook, issuing and controlling visitor badges and controlling entry to facility from main entrance.
  • Communicate in an effective manner by utilizing accepted business practices in a courteous and professional manner providing timely and accurate responses and service-oriented offers of assistance.
  • Manage all office supply and facility routine vendor relationships and inventory. Contribute to maintaining a safe and clean working environment by performing routine area housekeeping and reporting any unsafe conditions to facility management.
  • Protect confidential information by properly storing, retrieving and disseminating such information only to those authorized.
  • Contribute to the team effort by performing according to the guidelines outlined in the STERIS Code of Business Conduct, the GMP, Lean principles and other directives; support the directives and decisions of upper management and perform other duties as assigned.

The Experience, Skills and Abilities Needed:

Required:

  • High school diploma or GED
  • Minimum of three (3) years’ experience in clerical, accounting or similar positions. Six (6) months experience in the use of spreadsheets and word-processing applications.
  • Strong team orientation with ability to collaborate with others.
  • Experience in a manufacturing environment is preferred.

 

Other:

  • Excellent written and verbal communication skills and the ability to communicate across all levels of the organization with diplomacy and tact, using discretion and maintaining confidentialities.
  • Works independently under general guidelines and supervision.
  • Computer literacy to include word processing, spreadsheet and software capabilities with Microsoft Office.
  • Ability to research and form data/information into clear reports, charts, or other correspondence.
  • Effective interpersonal skills, strong customer service focus and represents the Company in a professional manner at all times.
  • Adapts easily to changing duties and responsibilities seeking areas for improvement within scope of job.
  • Requires normal hearing range sufficient to hear alarms, bells, horns, etc.
