The Role

The Vendor Credentialing Specialist is part of the Americas Commercial Operations team and reports into the Director, Sales Operations.  This role is responsible for managing the day-to-day activities of the Vendor Credentialing process for all North America Sales and Service representatives to ensure compliance to medical, training, and administrative credentialing requirements.  The Specialist is also responsible for staying current with the evolving credentialing requirements to ensure compliance as requirements change.  The role is critical in ensuring the North America Sales and Service teams are appropriately credentialed based on individual VCO and hospital/provider requirements designed to protect patients and organizations. 

 

The Vendor Credentialing Specialist also ensures compliance to CMS Open Payments and completes Equipment Audit presentations. 

 

This is a hybrid position after training - the team meets in the office at our US Headquarters in Mentor OH on Tuesday and Wednesday.

What you Will Do

Vendor Credentialing (75%)

  • Responsible for administering, promoting, and managing compliance to vendor credentialing best practices and processes for our 1600+ field-based employees, which includes solid understanding, interpretation, and enforcement of the vendor credentialing process.
  • Manage day-to-day inquiries and requests related to vendor credentialing, including but not limited to account creation, registrations, membership renewals and deactivation, document uploads, resolution of account discrepancies and access issues with VCOs and hospital customers.
  • Schedule on-going medical tests, background checks and training for employees according to ANSI standards by working with third party vendors.
  • Work directly with VCOs and Providers to understand credentialing requirements and develop process to adhere to such requirements.
  • Identify ways to reduce annual credentialing costs (approximately $1.5M) and improve the overall process of credentialing employees.
  • Create and maintain process documentation and training materials for the credentialing program. 
  • Create and deliver training to sales and service employees pertaining to credentialing requirements and regulations.
  • Participate as a member on the C4UHC (Consortium for Universal Healthcare Credentialing) committee to drive credentialing standards and interoperability.

  • Process vendor invoices resulting from credentialing activities.
  • Follow all data privacy guidelines related to employee’s personal health information (PHI) and personal identifiable information (PII).
  • Has a Lean mindset - looks for synergies across the shared services, sales and service teams and communicates opportunities for process improvements or general knowledge sharing.
  • Support the continuous improvement initiatives within the function, including standard work and the root-cause-countermeasure process in support of key performance indicators (KPIs)
  • Work within the department’s Lean tracking tools and provide data as needed for monthly documentation of performance against agreed-upon KPIs

Project Support (25%)

  • Owns the review of information related to Open Payment compliance/Sunshine Act by compiling and researching recordable transactions related to Open Payments.
    • Partner with corporate Compliance/Regulatory team to stay current on the natures of payment categories
    • Work with IT to develop reports from ERP, CRM, and Expense Reporting systems to capture expenses and Customer visits
    • Compile list of recordable transactions.  Work with field sales and service employees to resolve expenses not properly coded.
    • Submit spreadsheet of recordable transactions to Regulatory which is then uploaded to the Centers for Medicare & Medicaid Services (CMS).
  • Prepare Customer-facing equipment audit presentation materials for field sales based on Excel spreadsheets of a Customer’s install base. 
  • Participate in key meetings to document and disseminate important follow up items
  • Create reports, analyzes data, and prepares documentation based on analysis. 
  • Participate in Kaizen events when appropriate and supports the action plans that result from those events

What You Need To Be Successful

  • Bachelor's degree in business or related field.
  • A minimum of three years business experience within a Customer service or sales environment with responsibilities in Customer operations, administration, project and/or program management.
