Position Summary
This position has responsibility for meetings management – budgeting, sourcing, planning, execution, reconciliation and post follow-up of internal and external business meetings as assigned by the Manager, Meeting Services. This includes field sales and service meetings, training programs, annual sales meeting, Customer and internal seminars, and any other miscellaneous meetings or events. Additional position responsibilities include coordination with corporate business travel, Cvent administration including registration site build, client education and meeting metrics reporting. Duties also include special projects and initiatives as assigned by the Manager, Meeting Services.
Duties
- General meeting planning management for more than 100 meetings per year, per planner. Meetings range in size from 10-1500 attendees with budgets from $10,000 – $5,000,000.
- Meeting management includes location research, sourcing, qualification, complex hotel contract negotiations and approval, guest room blocks and subsequent rooming list management. It also includes working with Corporate Travel, ground transportation requirements, offsite venue research, sourcing and contracting. The position requires food and beverage selection and price negotiation.
- Additional responsibilities include building, deploying and monitoring electronic registration sites for events, app development and deployment, determining meeting room specifications, audiovisual coordination, creating timely attendee notifications and communications, managing special meeting needs such as equipment receipt, delivery and installation, communication with management on key elements of the meeting, and budget monitoring, invoice auditing and payment.
- Travel requirement of 10-15% to meetings. Travel will be based on the scope of the meeting/event and management requirements. Travel may be domestic and international.
- Responsible for coordinating with Corporate Travel which includes assistance to travelers with on-line booking questions/issues, and administration of the online booking tool, understanding and enforcement of the Employee Business Expense and Travel policy.
- May assist with arrangements for the Customer Visit Program at the Corporate Customer Solution Center, field based Customer visits conducted by the sales team. These arrangements include all logistical requirements, such as commercial and private air travel, hotel accommodations, dining recommendations and reservations, accurate ground transportation, agenda development, understanding of facility requirements, notification and communication of all arrangements to requesting individuals and management; all while abiding by AdvaMed guidelines and Open Payment regulations in order to keep STERIS in compliance with regulating bodies.
- Maintains activity records and reports on all meetings and Customer visit expenditures, for audit purposes as well as reconciliation of Meetings & Events and Customer Solution Center credit card statements.
- Special events assistance as assigned for Mentor-based activities, such as civic events, vendor fairs, team events, holiday luncheons, etc.
- Supports the Manager, Meeting Services on special projects, which may include on-site meeting assistance.
- Perform all other duties as assigned.
Required Experience
- 7+ years corporate meeting planning experience
- Bachelor’s degree or CMP with industry experience, preferred.
- Food and beverage selection and price negotiation experience
Preferred Experience
- Certified Meeting Professional (CMP)
Skills
- Advanced computer software proficiency, including Cvent and Microsoft Word and Excel.
- Demonstrated attention to detail.
- Excellent communication and follow-up skills.
- Must possess a high degree of organizational skills.
