Position Summary:

The Senior Meeting and Corporate Travel Planner is responsible for the pre-planning, supervision, execution, and post follow-up of internal and external Customer support related business meetings as assigned by Manager, Meeting and Travel Services.  This includes field sales and service meetings, incentive programs, annual meetings, Customer and internal seminars, facility Customer visits, and any other miscellaneous meetings or events.  Additional position responsibilities include corporate business travel support to travelers, online booking site administration, education and travel metrics reporting.  Duties also include special projects and initiatives as assigned by the Manager, Meeting & Travel Services.

What You Will Do:
  • Lead general meeting planning management for more than 100 meetings per year.  Meetings range in size from 10-1000 attendees with budgets from $10,000 – $2,000,000.  
  • Leadership of meeting management includes: site research, selection, qualification, complex hotel contract negotiations and approval, guest room blocks and subsequent rooming lists.  It also includes overseeing air travel, ground transportation requirements, offsite venue investigation and contracting.  The position requires food service selection and pricing negotiation.
  • Build, deploy and monitor electronic registration sites for events, working on app development and deployment, determining meeting room specifications, audiovisual coordination, creating timely attendee notifications and communications, managing special meeting needs such as equipment receipt, delivery and installation, communication with management on key elements of the meeting, and subsequent budget monitoring, invoice auditing and payment.
  • Travel to meetings will be necessary at times, based on the scope of the meeting/event and management requirements. Travel will be domestic and international.
  • Responsible for Corporate business travel administration which includes assistance to travelers with on-line booking, questions and issues, education and administration of the online travel tool, understanding and enforcement of the Employee Business Expense and Travel policy
  • Prepare, analyze and summarize meeting data to address opportunities towards an SMMP (Strategic Meetings Management Program) through the development of key metrics, performance benchmarks, and agreed upon performance targets
  • Manage all arrangements for the Customer Visit Program at the Corporate Customer Solution Center, field-based Customer visits conducted by the sales team, and management of the Global Center for Health Innovation.  These arrangements include all logistical requirements, such as commercial and private air travel, hotel accommodations, dining recommendations and reservations, accurate ground transportation, agenda development, understanding of facility requirements, notification and communication of all arrangements to requesting individuals and management; all while abiding by AdvaMed guidelines and Open Payment regulations in order to keep STERIS in compliance with regulating bodies. 
  • Maintains activity records and reports on all meetings and Customer visit expenditures, for audit purposes as well as   reconciliation of Meetings & Events and Customer Solution Center credit card statements.
  • Special events assistance as assigned for Mentor-based activities, such as civic events, vendor fairs, team events, holiday luncheons, etc.
What You Need to be Successful:
  • Bachelor’s degree or Certified Meeting Professional (CMP) certification with industry experience
  • Minimum of 7+ years of meeting and travel experience
  • Advanced computer software proficiency, particularly with database applications
  • Demonstrated attention to detail
  • Excellent communication and follow-up skills
  • Must possess a high degree of organizational skills
