Position Summary

The Senior Health, Safety, and Environmental Compliance and Global Facilities Coordinator assists in maintaining the health, safety and, environmental compliance, contacts employees at all STERIS facilities and contractor/vendors, directly supporting the Chief Health, Safety, and Environmental Compliance Officer & Senior Director – Global Facilities. Collections, formats and prepares reports of safety performance and lagging and leading metrics statistics and forwards to Senior Management Team, group Vice Presidents, and Health and Safety Managers. Works with all Global Facilities staff and maintains/manages the accounting functions for budgets on all projects.

Duties

Administrative — 50% (Performs administrative duties, such as screening calls and visitors; answering inquiries; processing mail; arranging meetings; making travel arrangements; ordering supplies, filing, maintaining lists; coordinating; communication)

  • Distributing correspondence and other various materials for department
  • Orders and tracks logo items for training groups, safety tips, etc.
  • Maintains individual health and safety files for all facilities.
  • Completes presentations, graphs, safety contacts for Managers throughout STERIS.
  • Prepares and distributes meeting agenda, records and distributes meeting minutes for committee and department meetings.
  • Maintains the HSE distribution contact list
  • Coordinates various meetings and conference calls; works closely with Senior Management team
  • Coordinates travel arrangements (may include visitors).
  • Screens telephone calls and visitors
  • Purchases office supplies and educational software tools
  • Coordinates Health, Safety, and Worker’s Compensation records with various staff members.
  • Coordinates requests from all STERIS employees relating to HSE or Facilities
  • Scans documents for conversion and modifying
  • Point of contact between Chief HSE Compliance Officers and Facilities staff, vendors, IT department, Senior Management team, and other employees.
  • Coordinates June Safety Month activities, safety boards, quizzes, contest, and safety tables. Sends information to HSE department prior to event for planning.
  • Notarize documents for STERIS Corporation daily.
  • Coordinate with Global HSE Facilities department the safety awards to be distributed to the facilities obtaining the Les. C. Vinney Pinnacle Award.
  • Provide backup to the Switchboard Operators and Corporate Front Desk receptionist during their time off.
  • Develops and emails weekly World Class Safety tips and fliers to the Corporate Communication’s department
  • Coordinates with the Facilities group and vendors to complete projects and task
  • Coordinate with vendors for information to input into Oracle which is used by the Accounts Payable Department.

Word Processing Applications— 35% (Uses a working knowledge of software programs to enter, revise, format and produce a variety of documents such as minutes, agendas, reports, grant applications, correspondence, exams, etc., management.)

  • Typing, copying, and preparation of various reports to the health, safety, and environmental compliance staff and contracted vendors.
  • Tracks World Class Safety Observations for Mentor campus through logbook and excel.
  • Prepares expense reports for HSE department
  • Compiling and maintaining statistical information for leading and lagging metrics files.
  • Develops visual aids and presentations through Microsoft Office for HSE training, staff meetings, Senior Management meetings, HSE Compliance Committee meetings, and Board of Director’s meetings
  • Coordinates various World Class Safety Excellence Initiatives, Safety Committee Safety Observations, Incident Investigations and PICM
  • Tracks departments vacations, time off, attendance and communicates to Chief HSE Compliance Officer for awareness
  • Partners with Chief HSE Compliance Officer to collect and combine department’s monthly reports; edits report with any changes or additions. Forwards finalized report to the Chief Financial Officer.
  • Develops and emails weekly World Class Safety tips and fliers to the Corporate Communication’s department
  • Complete purchase orders, process invoices related to purchases orders, and reconcile invoices on monthly basis.
  • Maintains and reconciles the Corporate C.A.R. spreadsheet on a monthly basis for Corporate Finance. Includes project statuses and accruals.

Maintains/monitors department specific websites and resource materials— 10% (Maintains manual and computerized record systems. Processes payroll and personnel documents for 30 people. Balances monthly statements and maintains financial accounts using spreadsheet software.)

  • Manages the health, safety and environment portal on the intranet, which includes preparing documents, inserting document onto portal and monitoring site daily.
  • Monitors the ISNetworld website
    1. Downloading customer certificates of insurances for clients
    2. Downloading Worker’s Compensation case information
    3. Review service employee’s fleet hours, miles driven, and accident ratings
  • Orders, maintains, and updates resource materials such as: OSHA Manuals, EPA, NFPA Standards, ANSI Standards, NIOSH Safety and Industrial Hygiene Guidelines, The Environmental Manager’s Compliance Advisor, Occupational Health & Safety News, and other “library” materials
  • Monitors daily the global and local news, weather, HSE advisories, environmental compliance advisories, and recall advisories for the HSE department

Miscellaneous — 5%

  • Lead member of the Crisis management team during emergency evacuation.
  • Notifies Chief HSE Compliance Officer of any immediate actions required due to department or facility issues or emergencies; backup to Manager of Health and Safety in case of an emergency, notifies authorities when necessary.
  • Completes special projects for HSE department on an as needed basis.

Education Degree

  • Bachelor's Degree

Required Experience

  • 10 years of HSE and Facilities experience accepted in lieu of degree.
  • 5-6 years of HSE and Facilities experience with Bachelors in Business Administration or related field
  • Works under direction and within policies/procedures.
  • Works at a tactical strategic level, but understands direction and goals of department.
  • Extensive knowledge of Microsoft Word, Excel, PowerPoint.
  • Knowledge of Oracle a plus.
