Position Summary

This is role at our corporate headquarters located in Mentor, Ohio. This individual will support the senior leaders in the Corporate Health, Safety & Environmental department. 

 

Under the guidance of the Senior Director of Health Safety, and Environment and other team members, this role will support functional reporting requirements, serve as a communication point for the department across the business and with vendors, and will provide other coordination and administrative support as needed to meet team objectives.  
 

Duties

Provide departmental administrative support to the Senior HSE Director and HSE staff.  This includes, but is not limited to; 

 

Administration:  (60%)

  • Preparation of various reports, compiling and maintaining statistical information for leading and lagging metrics files. Prepares and distributes meeting agenda, records meeting minutes for committee meetings and other important meetings (department, etc.), and prepares and distributes minutes to the appropriate person(s).  
  • Arranges various meetings and conference calls on as needed basis, working closely with the HSE Council. This includes the meeting notice, attendee tracking, meeting location and the agenda.
  • Coordinates meetings and travel arrangements, which could include arrangements for visitors. Screens telephone calls and visitors. Purchases office supplies, educational software tools and prepares expense reports for Senior HSE Director.
  • Works closely with the HSE staff to set up training classes, which includes sending the meeting notice, tracking the attendees and other various task, as needed. Also includes the location of the training, room set up, hotel rooms for traveling attendees,  restaurants (if applicable) for meals for the days of the classes and decides on menu. 
  • Monitors and updates the HSE Sharepoint portal (intranet / internet) and advises of changes.
  • Develops visual aids and presentations for HSE training, HSE staff meetings, senior management meetings, Compliance Committee meetings and Board meetings. 
  • Complete Purchase Orders and reconcile monthly.

 

Support / Technical: (30%)

 

  • Work with Global HSE to coordinate safety awards to be distributed to the facilities obtaining the Les C. Vinney Pinnacle Award. 
  • Member of Crisis Management Team during emergency evacuation. 
  • Act as HSE department single point of contact and Subject Matter Expert (SME) for HSE owned content on STERIS University, including:
    • SafetyHub – responsible for ensuring content is functional and relevant, support troubleshooting for users.
    • Articulate 360 – utilize software to create content (including the recreation of the HSE Global New Hire Orientation Training) and upload into STERIS University for Associate use
    • Manage FootPrints Tickets related to global HSE content
    • Manage new content upload process (Corp HSE content with first level support to BU specific content) and maintain / monitor training completions, reports, and relevant content.
  • Assist the HSE Navigator Manager with maintenance and first level technical support of the HSE global operating system and platform.
  • Act as Navigator Document Control Coordinator for Corporate HSE Policies and Procedures, and other related documents.
    • Train other STERIS Associates on the functionality and processes of the Document Control module.
    • Monitor and manage the Corporate HSE Initiative for assignment, applicability, and escalation management.
    • Maintain records related to document uploads and reviews

 

Data Entry and Analysis: (10%)

  • Maintain the Navigator HSE Metrics module to ensure data is submitted accurately and timely across the Enterprise
  • Maintain company compliance with OSHA Recordkeeping in ISNetworld for Life Sciences and Healthcare Field Service and Install.
     

Required Experience

  • Minimum of an Associate's Degree plus 1 year of experience required.  Bachelor's degree is preferred.
  • Must have at least one year of office administration or coordination experience, ideally in a corporate business environment.
  • Experience utillizing Microsoft Office (Excel, Word, PowerPoint, and Publisher).
  • Demonstrated organizational skills, strong verbal and written communication skills, and an ability to work well independently.
  • Strong interpersonal skills to communicate effectively at different levels of the organization. 
  • Ability to adapt to changing duties and responsibilities.
