We are currently recruiting for a Customer Service Support Administrator vacancy. This is an excellent opportunity to join us at a skilled level in a division that drives the business forwards through providing a best in class service to our customers.

This is 15 month Fixed-Term Contract

What is involved

Log fault calls on Siebel with as much information as possible and provide the customer with a call reference number.

Schedule engineers’ diaries strategically based on location, availability and skillset.

Order parts for engineers on Siebel.

Schedule remedial work for repairs to machines.

Mentor new starters

Send customers quotes for works/parts required.

Ensure all engineers’ diaries are accurate and up to date.

Maintain a healthy rapport with FSE and assist them with their enquiries

Answer all emails from customers, engineers and colleagues.

Provide reports for customers – Job sheets, Optimize and all customer portals.

Assisting with FSE stock takes, collating accurate information and issuing to purchasing.

Maintaining the RMA log with FSE and customer returns.

Overseeing a ‘Hold for Parts’ report and liaising with FSE, Purchasing and DSV as to outstanding requirements and availability. Ensure the customer is kept up to date throughout.

Managing NHS portals to obtain approved access for FSE to attend site.

Housekeeping of Siebel database ensuring jobs are closed down correctly to ensure the accuracy of invoicing

Handling a ‘Depot Service’ to manage the return of customer equipment for repair. Providing the customer with DCR forms, logging accurately on RMA/Siebel database and following the return until dispatch back to customer whilst keeping the customer up to date throughout.

Updating the FSE/FVE Skills Matrix and distributing to the CST.

Work alongside Capital Sales department to schedule installations convenient for the customer

Liaise with UK-Clinicals where a customer query requires clinical assistance.

Arrange for the decommission of equipment and notify Contracts Administrator to action asset closure in Siebel.

Schedule decontamination of machines following testing of equipment.

Required Experience

Concentration, accurate records, eye for detail, focused on the job, articulate.

Confidence in making quick decisions and using initiative.

Excellent telephone manner and skills.

Ability to build rapport with Customers and FSE.

Sociable and team player.

Relevant Company Experience:  General administration duties.

Technical Skills: IT Skills in Windows based computing.

Computer skills:  Microsoft Office, Oracle, Siebel, SharePoint, Calendar Management.

Other: good telephone manner, good communicator, highly organized.
