Position Summary

To provide administrative services to the relevant site to meet the requirements of the company.

This vacancy is in the Steris Sterile Services Department Royal London site Whitechapel

  1. General administration, filing photocopying, faxing and opening mail.
    Word processing of correspondence using various IT packages.
    To co-ordinate the acquiring, storing, processing and retrieving of information in relation to staff and providing administrative support.
  2. In liaison with HR assisting with the processing of applications for employment including involvement with advertising, short listing, setting up interviews
    and corresponding with successful and unsuccessful candidates.
    Ensuring that records of all unsuccessful short listed candidates are kept for a period of 6 months and maintaining a job interview assessment form for each
    of the applicants.
  3. Process time sheets sickness/absence annual leave/holiday requests.
    To arrange meetings, conference and any internal or external events. To ensure catering arrangements and equipment bookings are in place
  4. To undertake any other duties or tasks as reasonably required.
  5. To arrange all received office supplies
  6. To manage staff lockers, key cards and access cards
  7. Monitor and update any HR related software packages and documents update weekly
  8. To manage the records of all distribution by filing in date order and check for any discrepancy on daily basis.
Duties - cont'd
  1. Record sickness absence OT and unsocial weekend hours on a spread
  2. Update annual leave in the spread and software
  3. Enter sickness absence on the main software and record on local spread
  4. Calculate staff working charges weekly and prepare monthly charging spreadsheet for initiative list for contract charges
  5. Check daily overtime and unsocial hours against Kronos and update overtime and unsocial hours on the payroll spreads
  6. Check monthly payroll report with GM and resolve any discrepancies
  7. Record any agency staff hours on time sheets and prepare for charges
  8. Prepare details for unit operations reports
  9. Daily check all staff hours on Kronos time keeping software report and record the issues on the HR software on staff performance and report to management any discrepancies
  10. Update staff folders with their up to date sickness and AL hours last two/three years to date
  11. Note keeping and issuing letters requests invites to relevant parties as requested by management.
  12. Prepare invite and outcome letters for managers
  13. Check daily staff attendance and time keeping from the software and inform managers for performance meetings
  14. Keep office tidy clean and office folders all organised and up to date
