Position Summary

The Administrative Assistant will perform a variety of administrative, secretarial, and clerical duties for the Senior Business Leader. Duties may include analysis and use of independent judgment, discretion, and knowledge of company organization, policy, and personnel. Exposure to highly confidential data such as performance reviews, compensation materials, budgetary information, etc.

What You'll do as a Administrative Assistant

  • Provide administrative support to the Senior Leadership. This includes, but is not limited to: type, copy, collate, distribute, and file internal and external correspondence, reports, meeting materials, agendas, form letters, memos, etc.
  • Maintain and update filing system.
  • Answer/screen telephone calls, address routine questions, take appropriate messages, and open, prioritize, and distribute daily mail. 
  • Order and maintain office supplies.
  • Assist other departments as necessary. 
  • Organize and maintain daily / monthly calendar. Schedule appointments and coordinate arrangements for meetings and conferences. Book travel and hotel accommodations, ensuring efficient and cost effective arrangements.
  • Post STERIS University Education events to Healthcare Calendar.
  • Assist various departments in editing / proofing correspondence, presentations, marketing bulletins, etc., for general release.
  • Assemble and submit relevant data from files, compile statistics and information as required. Prepare reports, gather and summarize data.
  • Collect bi-weekly clinical calendars.
  • Maintain STERIS University stats pertaining to programs presented and the number of attendees.
  • Create, maintain, and update organization charts using PowerPoint or comparative applications.  
  • Organize and maintain files of correspondence, records, etc. and follow up as necessary.
  • Open, maintain and audit education program files for STERIS University, to include processing program sign-in sheets, evaluations, and CE Certificates for clinical team in the field and specialty programs.
  • Receive monthly reports from each report and compile information. Prepare submission to Senior Business Leader to report group status.
  • Process invoices for payment, i.e. expenses associated with credentialing of education, speaker honorariums supporting STERIS University.
  • Coordinate meals and logistics for special meetings and events, to include arranging catering, lodging in the local area, air and ground transportation for visitors and guests.
  • Other duties as assigned. 

The Experience, Skills and Abilities Needed

Required: 

  • High School Diploma or GED
  • Minimum of 5-7 years of administrative assistant experience.
  • Strong typing skills (70-80 wpm) and strong computer skills (Word, Excel, PowerPoint) required.
  • Excellent organization, written, and verbal communication skills.
  • Must be able to work independently and with highly confidential information.
  • High level of professionalism required

 

Preferred: 

  • An Associate Degree in Business or Administrative Sciences is preferred.
  • Formal secretarial training preferred.
