Position Summary

Responsible for providing administrative and staff support to the facilities manager(s), to include sitting at the front desk and greeting visitors, providing logistics for meetings, materials for meetings, preparing reports and support to ensure efficient operation of the office.  Supports managers and employees through a variety of tasks related to organization and communication.  Responsible for time sensitive material.  Ultimately, Administrative Assistant / Site Coordinator ensures the efficient and smooth day-to-day office of operations. 

Regularly assists in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc.  May assist in budget preparation and control activities.  May orient new employees.  May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations.   Duties may be complex in nature and may involve access to confidential information; duties may also include normal secretarial activities such as typing, scheduling appointments, maintaining supervisor’s calendar, screening calls, etc. 

Duties

  1. Sits at the front desk and greets visitors.  Assists in daily business of managers which includes general office work, answering phones, word processing, sorting and distributing mail.  Provides administrative support for management staff groups such as, Operations, Quality, Shipping & Receiving, Engineering, Supply Chain, Human Resources, and Facilities, etc. 
  2. Performs a variety of administrative duties for managers and staff, such as logistics, meetings preparation, material preparation, and setting up events. 

3.   Coordinates the efficient operation of the office by maintaining confidential and general files, ordering supplies, maintaining manuals, and performing all other relevant duties for each executive officer.

4.   Research, prepare and edit reports and presentations.

5.   Schedule and coordinate meetings, orders and sets up lunch in the meeting rooms.  Sets appointments for its ye Management Team.

6.   Assures that all assigned projects are completed in a timely and efficient manner and follow-up is done on all administrative details.

  1. Provides administrative support for management staff groups such as, Operations, Quality, Shipping & Receiving, Engineering, Supply Chain, Human Resources, Facility, etc. 
  2. Handle multiple projects/assignments and delivers results that are timely and accurate. 
  3. Organizes work using tools such as MS Excel, Word or Powerpoint. 
  4. Prepares reports for management staff.  May analyze data and highlights anomalies and discrepancies. 
  5. Ensures company communication is posted on bulletin boards or employee monitors. 
  6. Ensures building contracts and service agreements are up to date and working effectively. 
  7. May oversee and ensure office and building services are in place such as cleaning, landscaping, machine and equipment calibration.

14. Makes travel arrangements for managers and traveling employees. 

15. Makes meeting arrangements including setting up rooms/venues, orders supplies, and meals/food for breakfast, breaks, and lunches. 

16. Prepares meeting material for conferences and groups. 

17. Coordinates employee engagement activities such as picnics/BBQ’s, lunches, Ice-Cream socials, Thanksgiving or/and Christmas events. 

18. Keeps organization of office, orders and maintains office and other supplies. 

19. May help departments listed above in providing administrative or clerical support such as helping Supply Chain count parts, separate and bag sets of parts, enter data, and keyboard documents for forms. 

20. May track vendor contacts, or other contracts for services to the business. 

21. Provides general support to visitors. 

22. Develops and maintains filing system.

23. Performs other duties as assigned. 

Education Degree

  • High School Diploma or GED

Required Experience

  1. Four (4) years of working as Administrative Assistant or related experience.
  2. Experienced in managing multiple priorities.  
  3. Experienced in working with different groups/teams and ensuring all receive the administrative support needed.  

Preferred Experience

Associate's Degree Preferred.  

5 years of Administrative Experience Preferred.
