Position Summary

Provides Facilities Services coordination, administrative and operational support, to contribute to the overall success and operation of the facility or campus location.  The individual will also receive mail, coordinate mail distribution, serve as the main point of contact for all visitors and vendors/suppliers entering the facility and issuance of credentials.  


Customer Focus (30%)
1.    Greets visitors, manages digital visitor sign-in system to ensure compliance and advises appropriate employee of Customer’s, visitor’s or contractor’s arrival. 
2.    Ensures the entire lobby area and other Customer facing office spaces are always organized, neat, inviting and efficient. Trains new lobby relief employees as required on appropriate lobby activities and procedures
3.    Supports Corporate or facility functions and events to improve overall Customer experience.
4.    Answers, screens and directs general incoming calls to the facility or campus to ensure a positive Customer experience and provides backup phone support for other facilities as may be requested by manager.
5.    Receives mail or parcel and coordinates for distribution,
6.    Prepares and distributes memoranda outlining and explaining administrative procedures/policies and ensures compliance. Assists with proofreading material for corporate communications, marketing material, presentations, etc.
7.    Provides administrative support to various managers and consultants as directed by manager.  
8.    Communicates in an effective manner by utilizing accepted business practices in a courteous and professional manner, providing timely and accurate responses and service-oriented responses.

Facility Access, Security and Safety Coordination(30%)
9.    Ensures safety and security standards are followed by providing safety awareness briefing to incoming Customers, visitors and contractors through presentation of the safety video, evacuation procedures, Visitor and Contractor policies, Facility and Safety Awareness and briefing materials as may be issued, requested or directed by Global Facilities and Real Estate.
10.    Assists with research and records units of measure for ESG or similar as may be requested by Global Facilities and Real Estate or manager.
11.    Oversees building or campus access, on behalf of Global Facilities and Real Estate, by operating system, controlling access badges, and managing entry into the facility or campus from main entrance and other facility access points.  Audits new hires and separations lists to update and reconcile badge access system files and control access to the facility or campus.

Planning and Organizing (30%)
12.    Supports and coordinates the Evacuation Accountability Documentation for Facilities Services. Assists with publishing and management of Facilities Services data and content creation for documentation and storage on share drives and internal STERIS Global Facilities and Real Estate intranet or Teams site.
13.    Supports and coordinates data and information retention with shared management duties for Records Retention under Global Facilities and Real Estate.
14.    Organizes and maintains miscellaneous department files, prepares correspondence, reports, various databases and spreadsheets, ensuring confidentiality at all times.
15.    Assists with event planning of various special events, conventions, luncheons and dinners to include, but not limited to: invitations, facilities, transportation, catering, speakers, etc. for both sales and operations, as well as other areas of the company as directed by manager.  
16.    Provides backup support and assistance with coordination of CMMS and iOffice Facilities Software when needed.
17.    Assists management and contributes to financial control by collecting and maintaining data and providing reports for analysis.
18.    Protects company confidential information by properly storing, retrieving and disseminating such information only to those authorized.
19.    Coordinate with contractors, vendors, suppliers and other similar visitors as may be directed by manager to ensure compliance with STERIS policies, background check process.
20.    Assist with maintaining Facilities vendors lists and coordination of accounts payable and accounts receivable lists for submission to Global Facilities and Real Estate.

General Administration (10%)
21.    Provides administrative and coordinator assistance to Global Facilities and Real Estate, and general administration as may be required from time to time under direction of manager. This would include proficiency with Microsoft Office Word, PowerPoint, Excel, applications.
22.    Performs other duties or requests as assigned to support effective operation of the business and/or delivery of Customer requirements.

Required Experience

1.    High School Diploma required, bachelor’s degree from a four-year college or university preferred. 
2.    Must have 5 years related experience required, or a combination of experience and education.
